PF Return Filing

Prepare and file periodic Provident Fund returns and remittances for registered employers.

What's covered

  • Registered employers are required to file monthly returns and remit contributions under the Employees' Provident Funds and Miscellaneous Provisions Act 1952 for every eligible employee.
  • The combined contribution is 12% of basic wages from the employer and a matching 12% from the employee. Within the employer's 12%, a portion of 8.33% is directed to the Employees' Pension Scheme (EPS), and the balance of 3.67% flows to the EPF account proper.
  • Employers file the Electronic Challan-cum-Return (ECR) through the EPFO Employer Portal each month. The ECR captures each employee's contribution breakup and also triggers the payment of the challan — return and remittance are treated as a single filing event.
  • The due date for the monthly ECR and contribution payment is the 15th of the month following the wage month. Timely filing keeps the employer's record with EPFO clean and avoids the interest and damages that accrue on late payments.

How we work

  1. 01

    Register on the EPFO Employer Portal

    Every establishment liable under the EPF Act must first obtain an Establishment Registration Certificate. New registrations are done online on the Employer Portal (unified.epfindia.gov.in); the TAN and PAN of the establishment are required.

  2. 02

    Compute the monthly wage register

    At the close of each month, compile the gross and basic wages for every EPF-eligible employee. The contribution is 12% of basic wages (excluding allowances) for both employer and employee; the employer also computes the EPS share of 8.33% within its 12%.

  3. 03

    File the ECR by the 15th of the following month

    Upload the Electronic Challan-cum-Return through the Employer Portal. The portal generates a challan with the total liability; pay the challan online by the 15th to complete the filing. Both ECR upload and payment must happen by the deadline.

  4. 04

    Maintain and file annual returns

    In addition to the monthly ECR, maintain employee-wise PF passbooks, respond to EPFO queries, and submit any revised returns if corrections are identified after the monthly deadline.

  • Wage register showing basic wages and gross wages for each employee for the month
  • EPF registration (Establishment Registration Certificate and establishment code)
  • Employee PAN, UAN and Aadhaar-linked details for ECR upload
  • Payment challan and bank confirmation for the monthly remittance
  • Annual consolidated contribution statement (Form 3A / Form 6A where applicable under legacy formats)
